Customer-Routed LTL & Parcel Shipments

  • If you would like to use your own trucking carrier, this must be approved in advance with Atlantic Flag & Pole.
  • A handling fee applies to all customer-routed LTL shipments.
  • Purchase orders must include clear, complete shipping instructions — no exceptions.
  • Delivery of goods to your carrier at our point of origin constitutes transfer of ownership. Any transit delays or damage claims must be handled directly with the delivery carrier by the Seller.
  • Parcel shipping chargebacks on vendor or recipient accounts are the sole responsibility of the Seller. If a chargeback occurs, freight costs will be invoiced at published rates plus any applicable carrier adjustment fees.
  • Customers who ship regularly on their own account are responsible for maintaining that account in good standing. Atlantic Flag & Pole reserves the right to refuse use of any vendor or third-party carrier account at any time.

Limited Access & Non-Commercial Delivery Locations

Plan ahead — special delivery needs are always handled best when communicated in advance. Let us know early so we can coordinate around contractor schedules and job site deadlines.

  • Non-commercial locations include (but are not limited to): residences, churches, schools, veteran facilities, and construction sites. Any location without dock access or not classified as a commercial business may incur additional delivery charges.
  • Locations with special circumstances — including island locations, gated communities, rural areas, and military bases — may be subject to additional carrier charges.
  • Alaska, Hawaii, U.S. territories, and international/export orders are quoted on a case-by-case basis. Contact us before ordering.
  • If actual freight costs exceed your quote or checkout estimate, we will contact you before shipping.

Transit Time

  • Transit times are estimates and not guaranteed. Carrier delays can and do occur — Atlantic Flag & Pole is not responsible for delays outside our control.
  • If you have a required in-hands date, contact us and we will do our best to quote expedited or guaranteed services to meet your deadline.

International Shipments

  • The Seller is the exporter of record for all export and cross-border transactions.
  • The exporter of record must provide all commercial invoices and customs documents required to proceed.
  • Exporters must be fully informed of and compliant with all export regulations that govern their sale.
  • Atlantic Flag & Pole can help identify HTS codes and country of manufacture upon request.
  • Atlantic Flag & Pole is not responsible for any duties, taxes, or brokerage fees.
  • Atlantic Flag & Pole is not the seller of record on drop ship orders.

Delivery — What to Expect

  • The carrier's responsibility ends at the dock or driveway. It is the recipient's responsibility to offload the flagpole, accessories, and hardware. Depending on the flagpole size, additional personnel or equipment may be needed to assist with offloading.
  • We request a 24-hour advance courtesy call from the carrier to the point of contact provided at checkout. Note: these calls are not always perfectly timed — carriers sometimes make contact while shipments are still in transit.
  • Normal delivery hours are 8:00 AM – 6:00 PM. Deliveries outside these hours require special arrangements — contact us in advance.
  • Adult signatures are required at time of delivery. Never authorize a carrier to drop off a shipment without a recipient present — damage claims will not apply if the shipment is left unattended.

Receipt of Goods — Inspect Immediately

✅ What to Do Upon Delivery
  • Inspect the shaft, packaging carton(s), and all accessories at time of delivery — before signing.
  • Confirm all flagpole sections and accessories are present and in good condition.
  • Complete a full inspection within 48 hours of arrival to ensure a smooth installation.
  • Any visible loss or damage must be noted on the delivery document — no exceptions. Be specific. Do not write "subject to inspection" or "possible concealed damage."
  • If the carrier uses electronic PDA units, ensure they add your damage remarks — and ask them to photograph the damage if possible.
  • Never assume the delivery driver will document damage on your behalf.
🚫 When to Refuse a Shipment
  • If the flagpole shaft has been bent into the shape of V, W, L, or C — or is severely crushed — refuse the shipment.
  • You may keep the ground sleeve and hardware carton while refusing the bent pole.
  • Take photos of any damaged product before the carrier leaves.
  • If nothing is noted at delivery, the carrier will assume everything arrived in good order — and claims will not be accepted.

Flagpole Storage Before Installation

  • Aluminum flagpole shafts can stain if left in contact with wet or damp wrapping. If there is any sign of moisture exposure, immediately remove the shaft from the tube, unwrap, and dry it.
  • If storing outdoors before installation, the shaft must be stored off the ground and unwrapped.
  • A warning label is affixed to the shipping tube instructing the recipient to unwrap the flagpole immediately upon arrival.

Damages & Shortages

  • Despite best efforts, damage can occur in transit. If you have a problem, contact Atlantic Flag & Pole as soon as possible with photos and details. We will work to get replacements moving and initiate the claim process with the carrier.
  • Damages or shortages discovered after delivery must be reported within five (5) business days to qualify as a concealed damage claim.
  • Concealed damage claims are shared among shipper, carrier, and recipient — if approved, each party covers one-third of the value.
  • The Seller of record is the shipper for drop ship orders. Atlantic Flag & Pole is not responsible for a third financial share in drop ship damage claims.
